Indian H-1B and H-4 Families in the US: How to Plan H1B Stamping in India Without Losing Sleep
A wedding invitation arrives from home. Your cousin is getting married in Vijayawada in February, your grandmother is not getting younger, and your parents keep asking, “You are coming, no?” You want to go. Then the question that every Indian H-1B worker knows too well: is my visa stamp still valid, and if not, how long will I be stuck in India?
For many years, Indians in the US had a quiet workaround. If your stamp expired, you could book an appointment in Mexico or Canada, fly there for a few days, and come back with a fresh visa. That path has effectively closed. Since September 2025, the US State Department expects visa applicants to apply in their own country of nationality or residence. For most of us, that means H1B stamping in India.
On top of that, interview waivers for work visas have been sharply narrowed, appointment waits at Indian consulates can stretch for months, and since December 2025, H-1B and H-4 applicants face an online presence review that has caused rescheduling. This guide brings all of it together and offers a calm plan. I am not an immigration attorney. Please confirm your case with your employer’s lawyer before booking any tickets.
How to plan a stamping trip home
The Wedding Invitation That Became a Visa Question
Let me describe a family I have heard from in many versions. A couple in New Jersey, both working, he on H-1B and she on H-4, with a five-year-old son. Their visa stamps expired last year, but they stayed in the US legally because their status was valid. Then came the invitation: his sister’s wedding in Hyderabad.
He first thought of the old trick: a quick trip to Mexico for stamping. A friend told him that was no longer realistic. Then he checked appointment dates in Hyderabad and found the work-visa wait was months away. His manager was supportive but asked, “How long will you be gone?” He honestly did not know.
In the end, they made a careful plan, which I will share below: they booked the appointment first, arranged remote work with his employer as a backup, prepared documents early, and set their social media to public as required. The wedding was lovely. The stamping took longer than they hoped, but because they planned, nobody panicked. That is the goal of this article.
Why Third Country Visa Stamping Has Effectively Ended
On 6 September 2025, the State Department announced that nonimmigrant visa applicants should schedule their interviews at a US embassy or consulate in their country of nationality or residence. According to NAFSA’s summary, applicants who apply elsewhere may find it harder to qualify and may face much longer waits. Existing appointments were generally not cancelled, and rare exceptions may be made for humanitarian or medical emergencies or foreign policy reasons.
The word used is “should”, not “must”. But in practice, NAFSA notes that consulates have discretion to refuse third-country applicants, and the rules generally expect people to apply where they live. For an Indian citizen living in the US, residence means the US, where routine stamping is not done, and nationality means India. So third country visa stamping in Mexico, Canada or elsewhere is now risky and often not available.
What this means: if your H-1B or H-4 stamp has expired and you plan to travel abroad, you should plan for H1B stamping in India. If you still hold a valid stamp, you can travel and return on it, subject to the usual checks, without needing a new interview.
Remember that the visa stamp is only for entering the US. Your legal status inside the US comes from your approved petition and I-94 record. Many people live and work in the US legally for years with an expired stamp. The stamp only matters when you leave and want to come back.
Interview Waiver H1B: What Changed in September 2025
For several years, many H-1B workers renewing their visas could use an interview waiver, sometimes called the dropbox, where you submit documents without an in-person interview. That made stamping trips shorter and less stressful.
H1B stamping in India is now planned around the calendar more than the paperwork. With the interview waiver H1B rules narrowed and the H1B visa appointment wait India consulates show changing week to week, booking early and keeping documents ready decides how stressful the trip feels.
From 2 September 2025, the interview waiver policy was drastically limited. NAFSA’s summary says it was narrowed to apply only to B visa applicants, meaning visitor visas. For an interview waiver H1B renewal, that means most H-1B and H-4 applicants now need an in-person interview, even if they have had the same visa before.
This change to the interview waiver H1B rule adds a lot of time to a trip home. An in-person interview needs an appointment slot, and those slots are limited. It also means more people in the same queue, which affects wait times for everyone.
If you see older articles or friends’ advice about using the dropbox for H-1B renewal, check the date. Advice from before September 2025 may no longer apply. Always check the current rules on the official visa appointment website for India and with your attorney.
H1B Visa Appointment Wait India: What to Expect
So how long is the H1B visa appointment wait India right now? According to Business Today, citing the State Department’s global wait times page updated on 21 October 2026, the estimated waits for the work visa group, which includes H and L visas, were about 2 months in Mumbai, 3.5 months in New Delhi, 6.5 months in Hyderabad, 2.5 months in Chennai and 1 month in Kolkata.
These are estimates of the next available interview, not the time to get your visa in hand. They change often, as consulates release new slots, and they can differ from what you see when you actually log in. Hyderabad, which many Telugu families prefer because it is close to home, had one of the longest waits for work visas in that update.
There is one important flexibility that shortens the H1B visa appointment wait India: you can usually book your interview at any US consulate in India, not only the one closest to your hometown. If Hyderabad is months away but Kolkata or Chennai is sooner, booking there and travelling within India may save you weeks. Check the appointment system for all cities.
| City | Work visa (H/L) estimated wait, Oct 2026 |
|---|---|
| Kolkata | about 1 month |
| Mumbai | about 2 months |
| Chennai | about 2.5 months |
| New Delhi | about 3.5 months |
| Hyderabad | about 6.5 months |
Online Presence Review H1B: The December 2025 Change
Another change has affected H1B stamping in India directly. From 15 December 2025, the State Department expanded its online presence review to H-1B and H-4 applicants, as described by the law firm Fragomen. Applicants are asked to set their social media privacy settings to public so the State Department can review them, along with information in online databases and websites. This followed a similar policy for F, M and J student visas from June 2025.
The immediate effect in India was disruption. Fragomen reported that several US consulates in India cancelled and rescheduled H-1B and H-4 appointments set for 15 December 2025 or later, with many moved to March 2026, because consulates planned to interview fewer applicants per day. Some applicants completed biometrics and were then told their interview had been moved by months.
For anyone planning an online presence review H1B interview, prepare in advance. Set your accounts to public as required before your interview. Make sure your online profiles, especially professional ones like LinkedIn, match your job details in your petition. Remove nothing in a panic, because sudden changes can look odd, but be thoughtful about what you post in the months before your appointment.
Fragomen also warned that background checks and visa issuance may take longer, and that people with any arrest history, even if they previously got visas, should be especially careful before travelling. If that applies to you, speak with an attorney before booking anything.
Documents to Carry for H1B Stamping in India
Your attorney will give you the final list, but here is what most H-1B applicants carry, so you can start collecting early.
Your valid passport, with at least six months’ validity beyond your planned stay is a common expectation. Your old passports if they contain previous US visas. The confirmation page of your visa application form. Your appointment confirmation. Your H-1B approval notice. A recent employment verification letter from your employer stating your job title, duties, salary and that you are returning to that job. Recent pay slips, usually the last few months. Your recent tax returns or W-2 forms. Your educational certificates and transcripts for the degree that qualifies you for the role. And, if applicable, the labour condition application and a copy of the petition.
For H-4 family members, carry your marriage certificate, children’s birth certificates, and copies of the H-1B holder’s approval notice and employment letter.
Keep originals in a folder you carry in hand luggage, and digital copies in a secure cloud folder. During H1B stamping in India, a missing document can turn a smooth interview into a 221(g) request. It is far easier to over-prepare than to send documents later from another city.
If your job has changed since your petition was filed, for example a new title, team or location, tell your attorney before the interview. Consular officers compare what you say with what is in the petition. Differences are not always a problem, but they should be explained, ideally with an amended petition if required.
Answering Interview Questions Calmly
H-1B interviews are usually short, but in-person interviews make many people nervous, especially after hearing stories from friends. A few simple habits help.
Answer the question asked, briefly and honestly. If the officer asks what you do, describe your actual work in plain words, not a memorised paragraph. If asked about your employer, know basic facts: what the company does, where you work, who your manager is, and roughly how many people work there. If asked about your salary, give the number from your current pay, which should match your documents.
Do not volunteer long stories, and do not guess if you do not know something. “I am not sure, but my employer’s letter mentions it” is better than an invented answer. Speak in English unless the officer chooses otherwise.
Because of the online presence review H1B process, the officer may already have looked at your public profiles. Make sure your professional profiles are consistent with your job and your petition. If your LinkedIn says “Senior Manager” and your petition says “Software Engineer”, be ready to explain, or better, update it honestly before the interview.
Finally, dress neatly, arrive early, and carry only what the consulate allows. Being calm and organised makes a quiet, positive impression.
Extra Care if You Work for a Consulting Company
Many Indian H-1B workers are employed by IT consulting companies and placed at client sites. If that is you, H1B stamping in India can involve a few more questions, and preparation matters more.
Officers may ask about the end client, your project, and how long it will last. Carry a client letter or project documents if your attorney recommends it, and know your project details well. Make sure your worksite matches the location in your petition and labour condition application. If you have moved to a new client or location, check with your attorney whether an amendment was needed.
Small and mid-sized employers may also receive more scrutiny than large well-known companies. That is not unfair to you personally; it is simply how officers verify that jobs are real. Your employer’s attorney should prepare a clear support letter describing the company and your role.
If your employer is uncertain or slow in providing documents, do not travel until you have everything. A trip home is not the time to discover that a key letter is missing.
Administrative Processing: The Delay Nobody Plans For
Even after a successful interview, some applicants are told their case needs additional administrative processing. You may receive a refusal notice under section 221(g), which in this context usually means the case is not finished, not that it is denied. Your passport may be returned or kept while checks are done.
Administrative processing can take a few weeks or much longer, and there is little you can do to speed it up. This is the part of H1B stamping in India that causes the most stress, because nobody can give you a firm date to return.
We have written about 221(g) for students in our guide to 221(g) for Indian students, and many of the same principles apply to workers: respond quickly to any request for documents, keep copies of everything, check your case status regularly, and stay in close contact with your employer.
Plan your trip with this possibility in mind. If your job cannot tolerate an uncertain return date, think carefully about whether this trip is the right time.
Talking to Your Employer Before You Book Anything
Before booking flights, talk to your employer. This is the most important step in planning H1B stamping in India, especially with the online presence review H1B checks adding time.
Ask whether your employer supports remote work from India if your return is delayed. Some employers allow it for a limited time; others do not, for tax, security or client reasons. Get the answer in writing. Ask your employer’s immigration attorney to review your documents and confirm that your petition, job details and pay match what you will present at the interview. Ask what happens to your job if you are stuck for longer than expected.
Also check timing. If your H-1B petition extension or an amendment is pending, travelling may affect it. If you are in the middle of a green card process, check with your attorney before leaving.
Many employers have seen these delays since late 2025 and are more understanding than before. But nobody likes surprises. The more you plan with them, the better they can support you.
H-4 Spouses and Children: Plan for the Whole Family
If your spouse and children are on H-4, they will also need stamps if theirs have expired, and they face the same rules: home-country interviews, in-person appointments and the online presence review for H-4 adults.
Try to book family members’ appointments together, so the whole family is processed at once. Carry documents that show your relationship, like marriage certificates and children’s birth certificates, along with copies of your H-1B approval and employment letter.
If your spouse has an H-4 EAD and works, their work authorisation does not depend on the stamp while they are in the US, but travelling and needing a new stamp brings the same timing risk. Our article on H-4 EAD RFEs covers related issues that H-4 families often face.
For children, think about school schedules. Many families prefer to travel during the US school winter or summer break and book appointments to match, which means booking the appointment months ahead.
Using the Waiting Time in India Well
If your appointment, or administrative processing, means you spend longer in India than planned, try to treat it as time with purpose rather than time stuck.
If your employer allows remote work, set up a proper workspace: a reliable internet connection with a backup, a quiet room, and working hours that overlap with your team in the US. Many families in Andhra Pradesh and Telangana now have good broadband even in smaller towns, but check before you arrive, and keep a mobile data plan as a backup.
Keep in touch with your manager regularly, even if nothing has changed. A short weekly update, such as “still waiting for my visa, here is what I finished this week”, builds trust and reduces worry on both sides.
Use the time for things that are hard to do from the US: health check-ups for parents, property or bank paperwork, or simply long conversations with family. Many people who were stuck longer than expected later said the extra time with ageing parents turned out to be a gift.
And keep checking the appointment system every few days for earlier slots, if you have not yet had your interview. Consulates release new slots regularly, and the H1B visa appointment wait India estimates can change quickly. An earlier slot in another city can bring you back to the US sooner.
If the Visa Is Refused Outright
Most H-1B interviews end with approval or administrative processing. A full refusal is less common, but it happens, and it helps to know what to do if it happens to you.
First, read the refusal letter carefully and keep it. It usually states the section of law under which the visa was refused. Share it with your employer’s attorney the same day. Some refusals relate to documents or questions about the job, which may be addressed with a new application or an amended petition. Others are more serious.
Second, inform your employer calmly and discuss remote work or leave while the attorney works out the next step. Do not resign or make big decisions in the first few days.
Third, look after yourself and your family. A refusal after a long-awaited trip home can feel crushing. Remember that your degree, your experience and your skills are still yours. Whatever the outcome of H1B stamping in India, you have options, including in India and other countries.
Mistakes to Avoid When Planning Your Trip
Over the past year, we have heard about the same mistakes again and again. Here they are, so you can avoid them.
Booking flights before booking the appointment. Appointment dates are the hardest part to control. Book the appointment first, then the flights, with flexible return tickets if possible.
Relying on old advice. Anything written before September 2025 about the dropbox, interview waivers or third country visa stamping may no longer apply. Check the date of everything you read, including this article.
Assuming your hometown consulate is the only option. Wait times vary a lot by city. Check every city in the system.
Changing your social media in a panic just before the interview. Set your profiles to public as required, but do not delete years of history overnight. Sudden changes can look suspicious. Instead, be thoughtful in the months before.
Travelling while a petition, extension or green card step is pending without asking your attorney. Some steps are sensitive to travel. Always check first.
Not having a remote work plan. Even a few extra weeks in India can be a problem if your employer expects you in the office. Agree a backup with your manager before leaving.
If You Are Already Thinking About Moving Back
For some families, the stress of H1B stamping in India, long waits and uncertain rules triggers a bigger question: should we just move back? That is a big decision, and it deserves more than the frustration of one trip.
If you are considering it, use the trip as a chance to look around with open eyes. Visit possible cities, talk to friends who have returned, look at schools for children, and think about work options in India. Our article on the NRI return dilemma talks about the emotional side of this choice, and the moving back to India from USA checklist covers the practical steps if you decide to go.
There are also tax questions when you move between countries, such as when you stop being a US tax resident. Our substantial presence test calculator can help you understand where you stand for a given year.
Do not let one difficult visa experience push you into a decision you have not thought through. But if the trip helps you see that home is calling, that is worth listening to as well.
A Calm Plan for H1B Stamping in India
Here is the plan I suggest, step by step.
Three to six months before your intended trip, check whether your stamp is valid for your return date, and remember that third country visa stamping is no longer a reliable backup. If not, log in to the official appointment system and check the earliest dates in every Indian city. Book the earliest suitable appointment, even if it means travelling to another city within India.
Then, plan your trip around the appointment, not the other way round. Speak to your employer about remote work backup, and get your attorney to review your documents.
Before the interview, update your online presence settings as required, gather your documents, and prepare to answer simple questions about your job clearly and honestly.
After the interview, if your visa is approved, plan your return with a little buffer. If you receive a 221(g), stay calm, follow instructions, keep your employer informed and avoid booking non-refundable return flights until your passport is back.
And if the timing feels too risky this year, it is okay to postpone. Your family will understand if you explain that you want to protect your job and your future visits.
Questions Indian Workers Ask About H-1B Stamping
Can I still do third country visa stamping in Mexico or Canada?
Since September 2025, the State Department says applicants should apply in their country of nationality or residence. Third-country appointments are risky and often refused, so most Indians must plan for stamping in India.
Is the interview waiver H1B still available?
From 2 September 2025, the interview waiver was narrowed to B visa applicants. Most H-1B and H-4 applicants now need an in-person interview.
What is the H1B visa appointment wait India now?
The State Department’s October 2026 estimates for work visas ranged from about 1 month in Kolkata to about 6.5 months in Hyderabad. Check the official system for current dates.
What is the online presence review H1B rule?
From 15 December 2025, H-1B and H-4 applicants are asked to set social media to public for review. It caused rescheduling of many appointments in India.
Do I need a valid stamp to stay in the US?
No. Your stamp is for entry. Your status inside the US depends on your approved petition and I-94. You need a valid stamp only to re-enter after travelling abroad.
What if I get a 221(g) during H1B stamping in India?
It usually means administrative processing. Respond to requests quickly, check your status regularly, keep your employer informed and avoid fixed return bookings until your passport is returned.
